Quotations

Quotations (also known as Estimates or Proposals) allow you to send price quotes to your customers before creating an actual invoice. Access quotations from the Sales → Quotations menu in the sidebar.


Creating a Quotation

To create a new quotation, click the Add New button. The quotation form is similar to the invoice form:

Basic Information:

  • Quotation Number - Auto-generated unique quotation number
  • Quotation Date - Date of the quotation
  • Expiry Date - Date until the quotation is valid
  • Customer - Select an existing customer or create a new one

Line Items:

  • Add products/services with quantity and pricing
  • Apply taxes per item
  • Automatic subtotal and total calculation

Additional Fields:

  • Discount - Apply discount to the quotation
  • Notes - Add notes for the customer
  • Terms & Conditions - Select predefined terms

Item Table Column Controls

The quotation item table uses the same customizable column system as invoices. Click the Column Settings button to configure:

  • Enable/Disable standard columns (SKU, Barcode, Description, Unit, Quantity, Price, Discount, Tax, Tax Amount, HSN/SAC, Batch No, Exp Date, Mfg Date, MRP, Wholesale Price)
  • Drag & Drop Reorder columns
  • Custom Columns - Custom fields created in Product Form Fields with "Show in Invoice" enabled appear here as well

Managing Quotations

From the quotations list page, you can:

  • View - Open quotation details
  • Edit - Modify quotation details
  • Delete - Remove a quotation
  • Send Email - Send quotation to customer via email
  • Download PDF - Download as PDF
  • Convert to Invoice - Convert an accepted quotation directly into an invoice

Convert to Invoice

One of the most useful features is the ability to convert a quotation into an invoice. When a customer accepts your quotation:

  1. Open the quotation
  2. Click Convert to Invoice
  3. All line items, customer details, and terms are automatically copied to a new invoice
  4. Review and save the invoice

TIP

Converting a quotation to an invoice saves time and eliminates data entry errors by automatically copying all relevant information.
