Asset Management

You can create and manage assets from the Asset Management submenu in the sidebar. The submenu consists of four modules:

  1. Asset Categories
  2. Assets
  3. Asset Assignments
  4. Maintenance Schedules

Asset Categories

Asset Categories classify different types of assets. You can create categories from the Asset Management -> Asset Categories page.

To create a new asset category, fill the following fields:

  • Name, enter the category name (required).
  • Description, add details about the category.
  • Is Rentable, mark if assets in this category can be rented (required).
  • Asset Tracking Mode, select Bulk or Unit tracking (required).
  • Default Rental Price, enter the default rental price.
  • Default Deposit Amount, enter the default deposit amount.
  • Is Active, enable or disable the category (required).

Assets

Assets are items owned by the society. You can create assets from the Asset Management -> Assets page.

To create a new asset, fill the following fields:

  • Asset Category, select the category (required).
  • Name, enter the name of the asset (required).
  • Asset SKU, enter the SKU code.
  • Asset Tag, enter the asset tag.
  • Description, add details about the asset.
  • Location, specify where the asset is located.
  • Quantity, enter the quantity (required, minimum 1).
  • Purchase Date, enter the purchase date.
  • Purchase Cost, enter the purchase cost.
  • Warranty Expiry Date, enter the warranty expiry date.
  • Status, select Available, Assigned, Maintenance, Retired or Lost (required).
  • Condition Status, select New, Good, Fair, Damaged or Scrap (required).
  • Is Active, enable or disable the asset (required).

Asset Assignments

Asset Assignments track which assets are allocated to residents or staff. You can create assignments from the Asset Management -> Asset Assignments page.

To create a new assignment, fill the following fields:

  • Asset, select the asset (required).
  • User, select the user receiving the asset (required).
  • Assignment Number, enter a unique assignment number.
  • Quantity, enter the quantity assigned (required).
  • Assigned At, enter the assignment date (required).
  • Expected Return At, enter the expected return date (required, must be after assigned date).
  • Returned At, enter the actual return date.
  • Rental Price, enter the rental price.
  • Deposit Amount, enter the deposit amount.
  • Rental Type, select Per Hour, Per Day, Per Booking or Per Unit.
  • Deposit Type, select Per Hour, Per Day, Per Booking or Per Unit.
  • Late Fee, enter the late fee amount.
  • Returned Condition, select Good, Damaged or Lost.
  • Status, select Assigned, Returned or Overdue (required).
  • Notes, add additional details.

Maintenance Schedules

Maintenance Schedules define recurring maintenance tasks for assets. You can create schedules from the Asset Management -> Maintenance Schedules page.

To create a new schedule, fill the following fields:

  • Asset, select the asset.
  • Category, select the maintenance category (required).
  • Title, enter the schedule title (required).
  • Description, add details about the maintenance.
  • Frequency, select Weekly, Monthly, Quarterly, Half Yearly or Yearly (required).
  • Next Due Date, enter the next scheduled date (required).
  • Is Active, enable or disable the schedule.
